The Technical Services Specialist on the Technical Services team is responsible for technical planning, documentation, and design support throughout the sales process. In collaboration with the Technical Services team, the Sourcing Specialist, and the Sales team, this position creates vendor RFPs, technical drawings, venue research, and cost documentation that support program development and pricing. After a program is sold, the Technical Services Specialist maintains drawing and document revisions, ensures organized project files and version control, and facilitates a seamless handoff to the assigned program operating team. The position is primarily remote/office-based with limited travel.
The goal is always to provide exceptional service and to ensure customer satisfaction. A Technical Services Specialist can accomplish this goal by implementing the metroConnections Brand Pillars in everyday work functions with internal colleagues and external clients and partners: Connection, Innovation, Adaptability, Partnership, Dependability, Execution.
This is a full-time, salary, bonus-eligible, hybrid position. Work locations will include independent remote/work from home, occasional team office work in Burnsville, MN, and limited on-site event work (within the Twin Cities, domestically, and internationally, including overnight travel).
Position responsibilities include, but are not limited to:
* Support the Vice President of Technical Services and Technical Directors throughout the sales process, including:
* Build in-scope RFPs from program requirements and deliver them to vendors, track vendor questions, deadlines, and responses.
* Create 2D drawings (floor plans, room sets, stage plots, and rigging/power layouts) to establish design parameters.
* Prepare venue files and plots for the creative team to assist in 3D rendering, when applicable.
* Research venue specifications, in-house AV exclusives, rigging points, and power availability.
* Partner with Sourcing Specialist to review vendor bids and deliver completed RFP documents to sales within the agreed timeline.
* Assist in assembling financial documents for sales, including vendor, venue, scenic, and metroConnections costs.
* Revise RFPs, layouts, and cost documents as directed by client, sales, or budget changes.
* Provide drawing and documentation support after a program is sold:
- Make diagram adjustments (room set changes, seating counts, stage and screen placement) and distribute updated versions to vendors, venues, and internal teams.
- Maintain version control and a clear revision history for all drawings and RFP documents.
- Hand off complete, organized program files to the assigned Technical Director or production team.
* Maintain internal resources and standards:
- Maintain and secure internal resources through Flex (inventory management system) following established processes.
- Maintain RFP templates, venue file library, and standard drawing symbols/libraries.
- Assist with post-program follow-up as directed, including reconciling vendor invoices against quotes and archiving final drawings.
- Partner with Sourcing Specialist to update and maintain accurate information on the Production RFP Form Tracker
* Provide occasional on-site support as assigned, such as site visits, venue walkthroughs, or setup support for local and out-of-state programs.
* Support Technical Services team members with ongoing and forward-looking production challenges.
* Work collaboratively with all service teams within metroConnections.
* Participate in all aspects of metroConnections where appropriate/when assigned.
Minimum Qualifications include:
* Working knowledge of live event technical elements: audio, video, lighting, staging, scenic, rigging, and power.
* Experience with conference and event diagramming software is preferred, particularly Vector Works.
* Self-sufficient; effectively manages workload and deadlines across multiple proposals at once.
* Technology literate with a passion for learning new things.
* Exhibit strong computer and technical skills; proficiency in Microsoft Office including PPT, Word, Excel, and Outlook as well as Adobe Creative Cloud, and Mac OS. Familiarity with Flex Rental Solutions is preferred but not required.
* Read and interpret venue floor plans, rigging plots, and technical riders.
* Provide excellent customer service via email, on the phone and in-person.
* Take directions from multiple managers or team members, as well as having a good understanding of with whom to advise/consult in the event of conflicting instruction.
* Multi-task efficiently, learn quickly, and provide detailed work while maintaining big-picture thinking.
* Strong organizational skills, with the ability to stay focused on tasks, as well as a strong attention to detail and organization/documentation.
* Demonstrate common sense, comprehend instructions, interpret documents, and apply abstract principles to a wide range of complex tasks.
* Excellent oral and written communication (English is the primary language); write clear, complete scopes of work for vendors.
* Perform basic arithmetic accurately and compute rates and percentages.
* Ability to work well in a team environment; able to collaborate and compromise in a support role.
* Manage stress successfully: adapt to change, trouble-shoot, and make decisions while maintaining a calm and respectful demeanor.
* Work successfully with many different types of personalities.
* Ability to handle work-related stress; handle multiple priorities simultaneously; and meet deadlines.
