The role of a +ldquo;Production Manager+rdquo; is to ensure the successful execution of a production that has been
sold to the client. The Production Manager, in advance of each job, must form a comprehensive
understanding of the production by meeting with the Sales Executive, reading the contract in R2 and
looking through all the documents in the show folder. The PM is required to have detailed knowledge of
the job including all technical systems, decorative elements, labor schedule and logistics. They are
required to lead the crew onsite and serve as the main Frost point of contract for the client and venue.

Pre-Production Responsibilities:
o Advance each assigned job with the applicable sales rep. to form a comprehensive
understanding of the scope of work
o Hold production meetings with key personnel to go over upcoming jobs in detail
o Finalize equipment spec in R2 for assigned jobs with assistance from department heads as
needed
o Work with department heads and drafting department to finalize all floorplans, lighting
plots and renderings prior to the job shipping
o Confirm all drawings are in the job book prior to the job shipping
o Gather information about the job site via site visit, venue website, google earth, etc. Then
use this information to streamline logistics for load in / load out and avoid any issues with
executing the production
o Engage with warehouse managers and department heads as jobs are being pulled and
communicate all relevant information that is not reflected in R2
o Track all custom fabric and scenic elements that are being produced and confirm they will
be completed in advance of ship date
o Coordinate subrentals with Department Heads, place rental orders when applicable and
work with Warehouse Managers to make sure they are ready to ship on time
o Coordinate with sales staff on job specific purchases such as carpet, vinyl, printed materials,
fabric, d+eacute;cor elements, etc.
o Communicate any specific instructions regarding truck pack and trucking logistics to
warehouse managers for all applicable jobs

Onsite Responsibilities:
o Supervise crew for installation and strike
o Serve as the primary Frost point of contact for the Venue and the Client
o Communicate with the venue and client throughout the installation process and alert the
Frost sales representative of any major changes that will affect the budget, timeline, or
ability to execute the agreed upon scope of work
o Keep track of crew hours by filling out the Crew Call Sheet for each job onsite
o Make plans for meals based on the timing of the set up and show. Either cut crew for a 1
hour walk away or arrange to feed crew onsite for 1/2 hour on the clock
o If the venue does not provide cold drinking water, make sure a cooler with bottled water
and ice makes it onsite
o Observe full time and freelance staff and address applicable crew members if standard
industry safety procedures are not being followed.
o Communicate directly with all staff via email or text about any changes to the production
schedule once install has begun
o Complete an incident report if anyone gets injured, any equipment is damaged and if Frost
or any other vendor causes any damage to the venue
