Odd-o-Ts+rsquo; Entertainment is a family-owned and operated entertainment company based in Davenport, FL. Odd-o-Ts+rsquo; provides unique talent to fill any niche requested from our clients: from stiltwalkers, jugglers, and mimes to musicians to full-scale, self-produced productions. We specialize in knowing humans: we cast and hire them, we train them, we lead them through the event, and ultimately craft that incredible human talent into an amazing product that our clients love. We work with Central Florida theme parks, as well as national attractions in other parts of the United States.
ROLE
-The Event Coordinator serves as the primary coordinator for performer communications, scheduling, payroll administration, rehearsal operations, event documentation, and day-to-day production support. This role acts as the central communication hub between talent, operations, and clients to ensure events are staffed, documented, and executed successfully. The Event Coordinator owns key administrative and production processes while supporting operational logistics and personnel management as part of the broader project team.
-This role reports to the Operations Supervisor.
RESPONSIBILITIES
-Coordinate event schedules, staffing coverage, and day-to-day production logistics.
-Manage cast inquiries and communications throughout the event lifecycle.
-Create and distribute show reports in a timely manner.
-Create and maintain performer sign-in sheets and related event documentation.
-Distribute production notes, updates, and instructions to cast and staff.
-Maintain daily operational communications between performers, management, and support teams.
-Serve as the primary liaison between contracted talent, Odd-o-Ts' management, and clients during assigned projects.
-Facilitate cast recognition and employee appreciation initiatives.
-Manage event-specific communication channels
-Support a positive, professional, and safe work environment for performers and staff.
-Escalate personnel concerns to Operations and Project Supervisors as appropriate.
Maintain Paychex schedules and event staffing records.
-Complete reimbursement paperwork and supporting documentation.
-Time card review and approval processes
Support event-related social media content collection and coordination.
-Attend weekly team meetings to review project status and upcoming events.
-Attend client meetings as requested by Operations or Project Supervisors.
-Ensure client, project, and performer information remains confidential.
CANDIDATE PROFILE
Requirements:
-2+ years stage or event management experience.
-Willingness to learn and master organizational software (Paychex, Airtable, GSuite).
-Exposure to theme park entertainment, seasonal events and corporate events.
Odd-o-Ts+rsquo; Entertainment is a drug-free company. Medical Marijuana Cards are recognized.
