Position Summary

This position is full-time and based in person/in office five days a week in New York City. The Office Assistant will be responsible for a mix of operational and office duties. Position is non-exempt and will report directly to SVP Account Strategy and Partnerships.

The Office Assistant+rsquo;s primary goal is to ensure the office and all its components run smoothly and efficiently. This role requires strong attention to detail, the ability to manage multiple projects and timelines, and excellent interaction skills with colleagues and affiliates. Confidentiality is a key component of this position.

Responsibilities

Office Duties

Open and close the office daily.
Greet guests as needed.
Answer general office phone calls when necessary.
Run office errands as required.
Maintain kitchen organization and cleanliness, including managing the dishwasher, stocking supplies, and ensuring overall tidiness.
Order and manage office and kitchen supplies, merchandise, storage systems, etc.
Sort and distribute incoming mail.
Coordinate and facilitate office celebrations, including birthdays, staff retreats and monthly +ldquo;Lunch and Learn+rdquo; sessions.
Maintain calendars for key company dates, including opening nights and industry events.
Manage corporate gifts, opening night gifts, and other key event-related presents.
Act as the primary contact for IT, building management, phone systems, and office-related service providers.
Maintain and update the BOND website as needed.
Liase with leadership to approve WFH and PTO requests alongside department heads and outside payroll.
Collaborate with the outside CFO to manage administrative staff expenses and reimbursements through Expensify.
Maintain, update, and distribute the company handbook with outside HR
Oversee staff onboarding and offboarding processes with outside HR
Other duties as assigned and necessary to maintain office operations.


Qualifications

Strong organizational skills and ability to multitask in a fast-paced environment.
Excellent communication skills and a positive, solution-based attitude when working with colleagues and industry professionals.
High attention to detail and discretion in handling confidential information.
Ability to work independently and take initiative while also collaborating with a team.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office management tools.
1-2 years of relevant office experience or internships preferred.
