TITLE: Adult Programs Conservatory Associate
REPORTS TO: Studio A.C.T. Director + Associate Manager of Conservatory Adult Programs
STATUS: Regular Part-Time, Non-Exempt (10-20 Hours/Week)
RATE: $22.50 Hourly
LOCATION: 30 Grant Avenue, San Francisco, CA (Hybrid, Minimum Onsite 1x Day/Week)

ABOUT THE CONSERVATORY:
A.C.T.'s Conservatory envisions being a hub for theater education and training that inspires and shapes the passions of live theater for all. Each program offers different perspectives on theater and the craft of acting, with a variety of learning progressions for actors who wish to build a long-term relationship with their artistry and with A.C.T.

A.C.T.'s Conservatory department operates five core programs bringing theater-focused training to students of all age ranges and experiences; Studio A.C.T., Young Conservatory, San Francisco Semester, Summer Training Congress, and A.C.T.@Work. We have four support programs including our library, alumni relations, registrar, and recruitment workshops.

POSITION PURPOSE:
The Adult Programs Conservatory Associate provides administrative support to Conservatory, with primary focus on adult programs. This role supports day-to-day operations, including file set-up and organization, preparing agendas, taking notes, and coordinating schedules.
The Associate also provides student and participant support through email and phone correspondence, including registrar related assistance.

This position is responsible for completing assigned tasks and providing status updates to supervisors at the end of each day.

Opportunities for expanded responsibilities or increased hours may be considered over time based on departmental needs and program growth.

RESPONSIBILITIES:
Please note that this list is not exhaustive, but rather a representation of job duties.

Core Responsibilities
- Prepare agendas and take notes for Conservatory administrative staff meetings.
- Monitor, triage, and respond to general inquiries in the Studio A.C.T. and Conservatory email inbox.
- Route management-level communication and inquiries in the Studio A.C.T. and Conservatory email inbox.
- Create and distribute student IDs.
- Prepare online faculty folders with policies and student forms.

Program Support
- Provide administrative support for communications, scheduling, and maintenance of digital and physical files for conservatory staff, including admissions, student, and faculty records.
- Assist with implementation of the Studio A.C.T. Encore Program, including studio reservation coordination and general student engagement.
- Scan, copy, print and distribute department or class materials as needed.
- Assist with the creation, distribution, and collection of student, faculty, course, and program feedback forms.
- Track and maintain records of class accident reports.
- Provide basic technical support to faculty and students for onsite and online class needs.
- Support the organization, set-up, and clean-up of department special events.
- Support the organization and distribution of student transcript records.

QUALIFICATIONS + QUALITIES:
Required/Minimum Qualifications:
- Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.

- College-level education or equivalent professional experience.
- Experience working in an administrative and/or customer service environment.
- Some experience working in an academic environment with adult students of all ages.
- Interest in learning processes and contributing to a positive learning environment.

Knowledge, Skills and Abilities:
- Demonstrated ability to work effectively across cultural differences.
- Ability to cultivate and develop inclusive and equitable working relationships with A.C.T. colleagues and stakeholders.
- Proficiency with Microsoft Office (e.g. Word, Excel, Outlook), internet browsers.
- Strong interpersonal skills and emotional intelligence.
- Demonstrated skills in calendar management, verbal and written communication, organization, prioritization, and customer service.
- A strong attention to detail.
- Experience collaborating with multiple supervisors and departments.
- Ability to commute and work in San Francisco.

Preferred Experience:
- Background working in theatre, performing arts, cultural or non-profit institutions.
- Knowledge and experience using Tessitura Customer Relations Management program.
