POSITION: PRODUCTION COORDINATOR
STATUS: FULL-TIME (EXEMPT)
START DATE: ASAP
We are searching for an experienced Production Coordinator who can take ownership of processes and manage logistics autonomously while adhering to procedures set forth by Company and Production Manager.
RESPONSIBILITIES:
- Coordinate preplanning for incoming productions, including daily administrative tasks and correspondence.
- Research vendors and companies for production-related purchases, comparing pricing, quality, and delivery timelines to identify the best options for each need.
- Build and maintain production calendars, contact lists, and distribution lists; send updated production calendars to designers and department heads as applicable.
- Schedule and attend production meetings; take notes and distribute meeting summaries.
- Create and maintain accurate and current show-specific contact sheets, face sheets, and distribution lists.
- Place production orders and track expenses; file invoices and track shipments/deliveries/returns.
- Maintain organized digital (Dropbox) and physical filing systems for each production.
- Ensure all designers and department heads have access to the appropriate Dropbox folders and files.
- Maintain inventory of all production equipment, supplies, props, set pieces, rental packages, and production materials.
- Pick up and deliver production-related items (e.g. rehearsal props, rental equipment, office supplies, scripts).
- Assist with moving materials between rehearsal, storage, and stage areas.
- Distribute scripts, scores, and schedules as needed.
- Organize production needs for u/s rehearsals, special events, and education events/rehearsals.
- Provide backstage or front of house support as needed (includes concessions, ushering, etc.).
- Assist with arrival/departure pickups (airport, train station, etc.).
- Help with strike, load-in, and load-out as needed.
- Assist in keeping rehearsal and production spaces clean, organized, and safe.
- Schedule meetings; set up and send out Zoom links.
- Maintain confidentiality and professionalism in all matters.
- Other related duties as directed by Management.
MORE INFORMATION:
This is a full-time position where nights, weekends, and early mornings are required from time to time (particularly during special events, pre-production, production). Reports to the Production Manager.
REQUIREMENTS:
- Strong organizational and time management skills. Ability to juggle multiple deadlines, manage different projects simultaneously, and maintain meticulous records.
- Excellent communication both written and verbally.
- Must have a positive, can-do attitude and the willingness to take direction and learn to feel pride in the Company and the work.
- Must be able to lift, push, and pull up to 30lbs.
COMPENSATION AND BENEFITS:
- Salary is an annual amount between $40,000 and $42,000 based on experience.
- Paid weekly on a one week lag.
- Eligibility to participate in Company Sponsored Health Plan, and PTO after three months with the Company.
