Position Summary
STNJ seeks a highly organized, proactive, and engaging Assistant to the Producer to play a vital role in shaping and supporting our upcoming season. This dynamic position sits at the intersection of artistic planning and company management, supporting casting and contracting while ensuring an exceptional, welcoming experience for our artists.
The Assistant to the Producer serves as a key liaison between visiting artists, agents, unions, and internal departments. From coordinating auditions and preparing contracts to arranging housing, transportation, and hospitality, this role helps create a seamless and supportive environment in which artists can thrive.
The ideal candidate is detail-oriented, service-driven, discreet, and energized by a fast-paced creative environment.

Key Responsibilities:

Casting + Artistic Support
- Coordinate and maintain casting breakdowns and audition materials
- Schedule and support auditions; prepare sides, packets, and casting worksheets
- Attend auditions and assist with communication between directors, agents, and artists
- Draft, distribute, and track artist contracts in collaboration with leadership
- Maintain accurate records of artist contact information, union status, and payroll reporting
- File reports with relevant unions (AEA, SDC, USA, etc.)
- Support season planning activities, staged readings, and artistic events as needed

Artist Hospitality + Company Management
- Arrange and communicate housing assignments for cast and creative teams
- Prepare apartments for arrivals, coordinate cleaning, and manage check-in/check-out processes
- Serve as liaison with property managers and institutional partners regarding leases and maintenance
- Coordinate travel to and from New Jersey, including airport/train transfers
- Drive company vehicles as needed (including 15-person passenger vans)
- Organize grocery runs and respond promptly to housing or transportation concerns
- Plan and execute welcome gatherings, first rehearsal events, and other company hospitality functions
- Provide day-of support for special events and performances, including green room setup and artist needs

Administration + Operations
- Prepare and distribute welcome materials and onboarding packets
- Process travel reimbursements and assist with payroll distribution
- Track expenses and maintain organized digital and physical records
- Draft correspondence and maintain scheduling calendars
- Collaborate with marketing and other departments to verify artist information.
- Contribute to a positive, inclusive workplace culture aligned with STNJ+rsquo;s mission and values

Qualifications

Required:
- Bachelor+rsquo;s degree or equivalent professional experience
- Self-starter with strong strategic thinking skills and the ability to work independently
- Ability to work collaboratively with others in a positive and solution-oriented manner
- Exceptional organizational and time-management skills and a demonstrated ability to assess and prioritize tasks
- Strong written and verbal communication abilities
- Professional discretion and the ability to manage confidential information
- Demonstrated ability to anticipate needs and problem-solve proactively
- Comfort working evenings, weekends, and select holidays based on production schedules
- Valid U.S. driver+rsquo;s license and clean driving record
- Ability to lift up to 40+ndash;50 lbs and navigate stairs and varied work environments.
- Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with database systems a plus

Preferred:
- Experience in company management, stage management, producing, events coordination, or hospitality+mdash;ideally within theatre or live performance
- Working knowledge of AEA, SDC, USA, and/or LORT agreements
- Familiarity with the NY/NJ metro area

Work Environment
This is a fully on-site position based in Madison, NJ, with regular responsibilities at rehearsal spaces, performance venues, and artist housing locations. The role includes frequent nights and weekends, driving in various weather conditions, and engagement across all levels of the organization+mdash;from interns to guest artists to Trustees. Compensation + Benefits
Salary: $40,000+ndash;$45,000 annually, commensurate with experience
