Position Summary:
Administrative position with multiple key responsibilities including budgeting and tracking expenses for the entire department, collaborating with the production staff to ensure each team has sufficient personnel and resources, and leading by example to foster a respectful and inclusive working environment in the shops and at the theater.
Essential Functions:
-Under the direction and supervision of the Production Manager, process, allocate, and approve all production shop payroll.
- Assist in Reviewing resumes, interviewing, coordinating, and hiring seasonal staff, including onboarding, orientation, and exit interviews.
- Perform orientation for seasonal staff members, including review of employee handbook and guidelines of STAGES.
- Contract, assign and respond to needs with crew housing.
- Work with Production Manager, Artistic General Manager, and Human Resources, to assist with processing workman's compensation related injuries.
- Schedule and coordinate meetings, both institutional and project based in the off season.
- Attend all design, production, staff, and other meetings as requested; take and distribute meeting notes in the off season.
- Under the direction of the Production Manager, maintain and distribute master production calendar and tech calendars.
- Create seasonal staff contact sheets, schedules, calendars, and other relevant paperwork, and distribute appropriately.
- Under the direction of the Production Manager, collaborate with department heads to manage/track production budgets and credit card reconciliations.
- Maintain company vehicle needs for Production, including rentals, up-keep, security, and operation for the production vehicles and any rental truck needs.
- Arrange dumpster delivery for show strikes, as well as extra pickups at shops.
- Perform all necessary purchasing, exchanging, and returns.
- Handle arrangement of crew meals for any rehearsals/performances that are needed.
- Be available to assist with any urgent production issues that may unexpectedly arise, particularly during the Season.
- Work with shop managers to cultivate a positive, educational, safe, supportive, and productive work environment.
- Work STAGES' ancillary events when needed.

Education, Experience, and Skill Level required:
- Bachelor's degree in theatre (or equivalent experience) with experience in multiple technical fields.
- Proficiency in MS Office Suite, especially Word, Excel, and Outlook.
- Familiarity with unions beneficial including A.E.A., I.A.T.S.E., U.S.A., S.D.C., and A.F.M.
- Valid driver's license required.
- Must own their own vehicle
- Must be able to safely drive a cargo van or larger (26" box truck a plus)
- May be required travel locally on a regular basis.
