Company Manager/Executive Assistant

The Phoenix Theatre Company, a LOA LORT D Theatre and Arizonas largest professional regional theatre seeks a full time staff position Company Manager/Executive Assistant for a theatre complex that produces multiple shows a season and houses three theatres a new 500-seat proscenium venue that will produce pre-Broadway shows, a 375-seat theatre for self-produced musicals and plays, and a 135 seat cabaret style theatre), a bistro and bar, a warehouse, and apartment complexes.

Job Summary

The Phoenix Theatre Company seeks a highly organized and proactive Company Manager + Executive Assistant to support both the theatrical company management and executive level administration of our dynamic organization. This dual-role position manages housing and transportation logistics for artists and rental guests, oversees company vehicles, and coordinates accommodations and maintenance for company owned housing properties.

Additionally, the role provides key support to the Executive Director and Producing Artistic Director, including managing calendars, travel, expenses, communications, and special projects. The ideal candidate excels at multitasking, thrives in a fast-paced environment, and brings exceptional organizational, interpersonal, and problem-solving skills, along with a passion for theatre.



Organizational Relationships

Reports to the Executive Director
Supports creative team members and actors employed in productions produced or presented by The Phoenix Theatre Company
Works in collaboration with the Director of Production, Casting Director and Director of Operations


Essential Duties and Responsibilities as Company Manager:

Travel + Accommodation Logistics:

Coordinate all travel, housing and cars for artists and other guests
Maintain accurate records of travel itineraries, bookings, and travel expenses.
Act as the point of contact for travel-related inquiries and changes.
Coordinate and facilitate move-ins/outs, keys, welcome materials, and checklists.
Ensure all travel and lodging adheres to company budget policies and union requirements.
Communicate with Production Management, Casting Director and vendors to ensure quality and availability of housing.
Track occupancy and maintain up-to-date accommodation schedules.
Facilitate all contractual 3rd party rental hospitality needs
Repairs + Maintenance Coordination:

Receive and respond to reports of accommodation/company car issues and maintenance needs.
Coordinate timely repairs and maintenance with service providers or property managers.
Ensure company cars receive regular maintenance and upkeep including cleaning and fueling prior to artist use for top of each stay.
Tracking company car assignments and facilitating all requests for usage
Coordinate and conduct whenever necessary the check in/out for each artist in company own housing. Verifying inventory of each unit and ensuring the proper restoration for the next guest including flipping all linens, cleaning dishes, coordinating 3rd party cleaning crews and replenishing AEA required consumables.
Ensure issues are resolved efficiently and with minimal disruption to occupants.
Conduct follow-up to verify repair completion and satisfaction.
Maintain and keep organized inventory of housing supplies and schedule seasonal deep cleans or turnovers as needed.
Artist Care:

Assists with artist doctor appointments, medical emergencies, workman+rsquo;s comp claims, grocery runs, vocal coaching appointments, gym memberships, massage/chiropractor appointments, specialty lessons or training needs etc.
Ability to be on call for actor related emergencies.
Administrative + Reporting:

Maintain a database of preferred vendors and properties.
Track and prepare regular reports on travel costs, occupancy, and maintenance activities.
Assist in budget planning and cost-saving initiatives related to travel and accommodation.
Essential Duties and Responsibilities for Executive Assistant Support:

Provide direct administrative support to the Executive Director and Producing Artistic Director.
Manage executive calendars, schedule meetings, coordinate travel, and distribute materials and reminders.
Take meeting minutes, track follow-ups, and assist with internal communication.
Handle confidential correspondence and support special projects.
Serve as the primary liaison for the Artistic and Executive Directors and the Board of Directors.
Coordinate communication with staff, donors, and community partners.
Prepare expense reports, payroll submissions, and other executive materials.
Maintain professionalism, discretion, and efficiency in a fast-paced environment.

Minimum Qualifications

Demonstrated experience in theatre, arts administration, or related fields, with a proven ability to apply relevant skills, knowledge, and abilities in a professional setting.
Ability to work nights and weekends with a flexible work week schedule.
Computer skills, including a strong knowledge of Microsoft Office Suite.
Self-starter and the ability to multitask.
Professional etiquette and work ethic.
Organizational and time management skills with an ability to manage large, diverse groups.
Superior attention to detail.
Valid driver+rsquo;s license and available vehicle.
Standards of Performance


Physical / Mental Demands + Working Conditions

General office, theatre and fully functional scenic, prop and costume shops work environment.
An ability to perform tasks that may require lifting or moving materials with support available as needed.
Evenings and weekends are required.
