Mind The Gap is a fast-growing scenic fabrication shop located in Brooklyn, NY that produces scenery for brand activations, experiential marketing, theater, fashion, and more in the New York City area as well as across the United States. GENERAL FUNCTION:
The Associate Project Manager(APM) is the glue that holds us together. For every project that comes through MTG the APM helps to oversee the project. This starts from the first client interaction and follows through build and installation. The APM works with clients as well as the technical design staff to realize the vision of the project and that it is completed on time and within budget. They are responsible for ordering materials, and specialty hardware in coordination with the Technical Designer and Production Manager, ensuring all logistics and install crews are arranged, as well as interfacing with the client throughout the process.

RESPONSIBILITIES:
- General Organization, upkeep, and processing of all job related and procedural paperwork for office use
- Participates in and takes notes for all meetings including but not limited to Daily Production Meetings, Department Meetings, Client Meetings, and Video Conferences
- APM assists with client contact for all aspects of the project ranging from estimation, progress reports to installation and maintenance
tracking of all materials and labor budgets throughout the course of the project to ensure projects stay on budget and help identify where changes need to be made
- Maintains shipping and receiving schedules. Works with clients to make sure any client receivables are noted for delivery dates, logged upon receiving and clients are notified of arrivals. Schedules trucking to deliver projects to sites and returns
- Sends requests to Labor Division to get crew booked for installations and strikes
- Arranging, Coordinating, and Scheduling meetings and conferences across multiple departments and people
Recording project milestones within calendars and operational paperwork
- Managing the purchasing and stock all office supplies, equipment, and sundries
- Purchasing and Ordering for job specific needs
- Management and tracking of expenses
- Special event planning as needed
- Office Administration including but not limited to answering phones and coordinating communication
- Helping to facilitate scheduling and planning of meetings as needed


REQUIRED SKILLS:
- Several years (at least 2) of working in professional office environment
- Strong working knowledge of Google Suite (Sheets, Docs, Drive)
Familiarity with Microsoft Suite (excel, word, power point)
- Ability to work independently and complete tasks on a deadline
- Experience with general purchasing and expense reconciliation
- Experience leading a small team on-site or in a shop environment
- Experience with vendor relations
- Strong organizational skills
- Strong communication skills
- Strong Time Management Skills
- Positive attitude
